Choosing a linen partner: nine questions that reveal everything

Most laundries quote a price per kilo. That number tells you almost nothing about whether you'll be let down on your busiest Saturday.

Handing over your linen is a bigger decision than it looks. You're not buying a wash — you're outsourcing a part of your guest experience that runs every single day, and trusting someone else to never make you look bad. The cheapest quote and the right partner are rarely the same company.

Here are the nine questions we'd ask if we were in your chair. Read the answers less for the facts and more for the tone: a good partner is specific, calm and a little bit boring about detail. That's exactly what you want.

1. How do you guarantee linen is hygienic, not just clean?

You want to hear about disinfection — sustained wash temperatures or validated chemical processes — and about keeping clean and used linen separate. If the answer is just "we use a great detergent," keep looking.

2. What's your standard turnaround — and your honest worst case?

Average turnaround is easy to quote. Ask what happens in their worst week, because that's the week you'll remember. A partner who admits to a realistic range is more trustworthy than one who promises perfection.

3. Can you scale to my peak, not my average?

Your linen demand isn't flat. A good partner plans around your busiest days and never leaves you rationing towels at 5pm on a Saturday. Ask them to describe how they'd cover your peak specifically.

You don't feel a laundry partner on a quiet Tuesday. You feel them on your busiest day.

4. What happens when something goes wrong?

Linen gets lost, stained, miscounted — it's a volume business. The question isn't whether mistakes happen but how they're handled: who you call, how fast it's fixed, and whether you're made whole. Vague reassurance here is a red flag.

5. How do you handle stains without destroying the linen?

Aggressive bleaching makes whites look bright for a month and then grey, thin and lifeless. Good stain treatment is targeted and protects the fibre. Ask how they balance stain removal against the life of your towels — it tells you whether they think long term.

6. Do you handle collection and delivery yourselves?

If laundry is sub-contracted to a third-party courier, your clean linen's last mile is out of the laundry's control — exactly where cross-contamination and missed slots creep in. A partner who runs their own collection across your area keeps the whole chain accountable.

7. How flexible is the schedule, really?

Your week changes. Can you move a collection, add an extra one before a busy weekend, or scale your contract up and down by season without a renegotiation each time? Rigidity here becomes a daily friction.

8. What does the all-in price actually include?

Price per kilo is a trap if collection, delivery, stain treatment, lost-linen cover and minimum charges all sit on top. Ask for the all-in cost for a typical week of your volume. Compare totals, not headline rates.

9. Who will I actually be dealing with?

When there's a problem, do you reach a named person who knows your account, or a ticket queue? For a business your size, a partner who treats you like a relationship rather than a route number is worth a great deal.

The short version

Cheap is easy to find. Reliable, hygienic and genuinely on-your-side is rarer — and it's what actually protects your reputation. The right partner should sound like they've thought about your worst day, not just your invoice.

That's the standard we built Urban Press Co. around: hospitality-grade hygiene, our own collection and delivery across all of London, and a real person who answers when you need one.
